標題A question about writing an offical E-mail...

I want to send mail to elders, but I don't know how to write an offical
E-mail.
I hope someone can help me to rewrite the example below because I think the
tone that I used is more like to peers, not elders!
[Example 1]
Dear AAA,
My name is BBB, the son of CCC.
My parent have a gift to you,
therefore I would like to konow when is convience to you for a vist.
[Example 2]
Dear professor DDD,
The attached files is the document you want,
if you have any advisement, please let me know.
