我学弟的同事(一个美国人)遇到白烂e-mail之後写的.

以下, 是给各位无论是否已经就业, 写 e-mail 的一些建议
Hello everyone,
I think everyone is interested in improving their English a little bit. How
about if we start with how to write a proper email.
After writing many emails over the last week communicating with some
Taiwanese from another company I am almost going crazy with some of the crap
I see people writing.
1. Dear Sirs/Dear Madam
- "Sirs"/"Madam" is very formal and reserved for someone you have never met
in person. It's better just to use their real name.
2. Dear X:
- Although ":" is correct, it is used for formal business letters. For
informal letters it is best to use a comma ","
3. Dear X-
- "-" is bad English, don't use it.
4. In the body of the email, don't randomly
skip
space
like
this!!!!!!!!!!!
5. At the end of each sentence use a period "." Don't use this "..." unless
you know what it means.
6. Does everyone know what a "run on" sentence is? Don't write them!!
7. Don't use "plz", "u", "hlp", etc. (text message talk) or people will think
you are uneducated. I only notice that Indian people have this bad habit.
8. Don't use acronyms unless you are sure everyone knows what they mean.
9. There is something called a paragraph, make good use of them!
10. Don't use the word "kindly" like "please kindly", it sounds very weird.
11. It seems that everyone loves to sign their email with "best regards".
When writing a letter "best regards" is very formal, best used for someone
you have never met face to face. Definitely not appropriate for sending email
to coworkers.
An example of using "best regards" would be "Give the family my best
regards."
For email, it's much better to use "regards", "sincerely", "thank you", or
nothing. You need to judge by the tone of the email.
12. Don't forget to write your name after the email!
13. Don't attach PGP public keys to the end of email, people will think you
are crazy and will not want to email you. It's better to use a link to your
public key or your key fingerprint.
When an email is threaded there are some special rules you should follow such
as not top posting and removing the irrelvent parts of the body. It seems
nobody in the company follows these rules, maybe because you don't know them,
your email client is broken, you use Outlook, or whatever. We can discuss
this next time.
